A global leader in infrastructure and construction recently undertook a strategic refurbishment of its Canary Wharf office in London. To support the project and ensure minimal disruption to operations, Business Moves Group (BMG) was appointed to manage the relocation and storage of critical office assets, alongside furniture redistribution and technical decommissioning.

An ambitious weekend brief

The project had to be completed over a single weekend – Friday to Sunday – with all works conducted outside of normal working hours to avoid disrupting employees. The scope included:

  • Decommissioning and relocation of 238 monitors, 237 monitor arms, and 119 docking stations
  • Internal transfer of six desk setups within the same office space
  • Delivery of 30 crates ahead of the move
  • Removal and sustainable redistribution of 123 chairs to a recycling partner
  • Relocation of IT and VC equipment to a Newcastle office
  • Additional last-minute requests to relocate furniture into storage within 24 hours’ notice

All items had to be collected from Canary Wharf and relocated to BMG’s Birmingham storage hub and the recycling partner – with just three days to deliver the full scope of work.

A detailed approach

Working to a compressed schedule, required meticulous planning. A full team of IT engineers, furniture fitters and porters were deployed. Crews were split into smaller units with designated team leads to maintain efficient communication and decision-making throughout the project.

On Friday, teams began with IT kit decommissioning – two monitors, docking stations and power cabling from 125 desks. All items were carefully labelled, wrapped, and boxed. Meeting room equipment, including 30 video conferencing screens, was taken down and prepped for secure transport.

The desking and furniture, including booths and soft seating, were disassembled and packed. BMG maintained direct liaison with the client throughout the process, enabling swift on-site decisions.

Despite challenges such as a busy operational building, limited access to only one of three loading bays, and external distractions including a TV crew filming outside, the team delivered the relocation on time and without incident.

A successful move

BMG completed the relocation within the tight three-day timeframe, enabling the client to proceed with its refurbishment on schedule. The project was notable for its flexibility, with BMG responding to additional requests at short notice – including furniture collection for storage with only 24 hours’ notice.

The client has access to a full asset list that details the condition and quantity of items in storage, making future furniture decisions much faster and cost-effective.

By redistributing furniture to a specialist recycling partner, the client also aligned the project with its sustainability values. Items were diverted from landfill and given a second life, contributing to ESG targets and reducing waste.

The project demonstrated our agility, speed, and technical expertise – particularly in managing IT relocations and coordinating across multiple destinations under pressure.
