Business Moves Group (BMG) has been the retained moves and change management partner for a leading FTSE company for the last 11 years.

Earlier this year we supported the move of 1,600 employees and equipment to a new office in central London.

Project scope

The new office comprised of six floors and 1,080 desks plus alternative work settings, collaboration space, and meeting rooms.

The company’s employees are working from the office two to three days per week and use a desk booking tool to reserve work settings.

The BMG brief was to relocate task chairs, meeting chairs, individually allocated DSE equipment and team specific effects. However, our biggest role in the project was to manage and deliver the Desktop IT roll out to all work settings.

IT relocation

Due to limited space in the new building during the fit-out period, all the new desktop IT kit was delivered to the existing premises. Once received, we set up a production line to unpack, assemble and repack the kit into anti-static bubble bags. They were then packed into security transit cages.

This allowed us to manage delivery during a limited window of opportunity, including careful installation and thorough testing of each unit before use by employees. A blend of single, dual and triple monitor configurations were installed to reflect the various user group requirements.

To ensure safe protection during transportation, custom specification bubble bags were procured and used to prevent any damage. The specification and design of the monitor protection enables them to be re-used on numerous occasions, reducing costs and avoiding single use recycling.  Once installed, each asset was scanned and audited by desk location which allowed for accurate updates to the clients’ database.

The client requested that their existing monitor arms be moved and reused in the new building. We took this into consideration when developing our plan. Over a single weekend we decommissioned all the existing kit from the arms in the existing workplace, removed the arms from existing desks, relocated them to the new building and then re-connected the new kit to the arms. This process included a detailed specification of the cable management and ‘dressing’ of each desk to ensure that we met the clients demanding specification.

At the decant building, all the old IT equipment was decommissioned, asset scanned and sorted in a holding area to be stored by make and model. Once evaluated, the kit was then re-distributed for future reuse and/or repurposing.

All packaging from the new monitor kit was removed from site and repurposed. Packaging from the keyboards and mice was fully segregated and recycled at our waste handling facility while the monitor boxes were exchanged with one of our partners who specialise in the resale and redistribution of used IT equipment.

The results

Our collaboration was another successful project delivered as part of our long-standing relationship in delivering moves and changes. The extensive repurposing of packaging and recycling not only minimised waste but also highlights BMG’s dedication to sustainable practices.
